AI Receptionist for Real Estate Agents and Teams

An AI receptionist for a real estate agent answers the sign calls and portal calls you cannot take during a showing, answers from the listing facts you give it, books showings and listing appointments on your calendar, and emails you a summary of each call. It asks about the home and the timeline, never about who the caller is.

Do buyers and sellers still work through agents?

Most do. NAR's 2025 Profile of Home Buyers and Sellers, covering sales from July 2024 to June 2025, found that 88% of buyers bought through an agent and 91% of sellers sold with one. An agent in the middle of a showing cannot take the next caller, and that caller has other agents to try.

What can a receptionist ask a home buyer without steering?

Ask about the home, never about the neighbors: price range, bedrooms, timeline, financing and showing times. HUD's rule at 24 CFR 100.70 counts telling buyers they would not be comfortable with existing residents, because of race, color, religion, sex, handicap, familial status or national origin, as unlawful steering.

Can an AI receptionist text real estate leads after the call?

Be careful with marketing texts. The FCC's TCPA rule, 47 CFR 64.1200, generally requires prior express written consent for autodialed telemarketing calls and texts to cell phones, and a reply such as STOP revokes it. VantaWeb's booking-confirmation texts are off unless you turn them on.

Which calls does a real estate receptionist handle?

Seven kinds of call reach a working agent: a question about a listing, a showing request, a buyer who wants help, a seller who wants a valuation, an after-hours lead, a vendor or partner, and a client already under contract. Each gets a different next step, so the receptionist works out which one it is first.

Call typeTypical callerWhat the receptionist does
Listing inquiry"Is the house on Cedar still available? What are the taxes?"Answers from the listing facts in its knowledge base. Anything not there, such as an offer deadline you have not shared, becomes a message for you.
Showing requestA buyer who wants to see a listing this weekend.Checks your Google Calendar or VantaWeb's built-in scheduling for open times and books the showing while the caller is on the line.
Buyer qualification"We're starting to look and need an agent."Asks about price range, area, timeline and financing, and whether they already have an agent, then books a buyer consultation.
Seller and listing appointment"What could we get for our house?"Records the address, the timeline and whether the home is already listed, and books a listing appointment. It does not give a price opinion.
After-hours leadA portal or yard-sign call at 9 PM.Runs the same intake as daytime, books if the caller wants a time, and emails the summary so the lead is waiting for you in the morning.
Vendor and partner callsLenders, inspectors, title and escrow officers, appraisers, contractors.Takes a message with the transaction address and what they need, or transfers to the number you set.
Client under contractA buyer whose inspection or closing has a problem today.Transfers the call to the number you set. If nobody answers, it takes a message with the caller's name, number and what happened.

What should the receptionist ask a buyer or seller?

Ask what you need to serve the caller and nothing about who they are. Name, number, the property, buying or selling, timeline, price range and financing status cover most calls. Whether they already have an agent matters too, because many agents now need a written buyer agreement before a tour.

Intake fieldWhy it mattersHow to ask it
Name and best numberThe call back goes to the right person on the right phone."Who am I speaking with, and is this the best number to reach you?"
Property of interestTies the call to a listing, a sign or an ad."Which home are you calling about? An address or a listing number works."
Buying, selling or bothDecides whether you book a showing, a buyer consultation or a listing appointment."Are you looking to buy, to sell, or both?"
TimelineSeparates a buyer touring this weekend from one planning for next year."When are you hoping to move?"
Price range and must-havesLets you suggest other listings that fit."What price range and how many bedrooms are you looking at?"
Financing statusHelps you prepare the next conversation. Ask it; never require it to book."Will you be financing, and have you talked with a lender yet? It's fine if not."
Current agentRespects another agent's client, and tells you whether a written buyer agreement is needed before the tour (required by many professionals since August 17, 2024)."Are you already working with an agent?"
How they found youTells you which signs, portals and referrals produce calls."How did you hear about this home?"

Questions the script never asks

  • Whether the caller has children, is married, or how many people will live in the home.
  • The caller's religion, national origin, race, or any disability.
  • Whether a neighborhood is "good for families", "safe", or full of people "like you". Answers to those questions can become the preference statements and steering the rules below describe, so the script points callers to public sources such as school district boundary finders instead.

What does a good showing-request call sound like?

A good call confirms the listing, books a time and collects the details the agent needs, without commenting on who lives nearby. The script below is an illustrative example we wrote to show the structure. It is not a recording of a real caller, and the brokerage, agent and address are made up.

Example: yard-sign call at 8:40 PM (illustrative)

Caller: "Hi, I'm calling about the house on Maple with the sign out front. Is it still available?"

AI: "Thanks for calling Harbor Lane Realty. Yes, 212 Maple Street is listed as active. It's a three-bedroom, two-bath home. Would you like to see it?"

Caller: "Yes, this weekend if we can. Is it a good neighborhood for families?"

AI: "I can't describe who lives in a neighborhood, but I can email you the school district's boundary finder and the city's neighborhood page. Are you already working with an agent?"

Caller: "No, not yet."

AI: "That's fine. Jordan has Saturday at 10:30 or 1:00 open for a showing. Which works better?"

Caller: "10:30."

AI: "You're booked for Saturday at 10:30. Will you be financing the purchase, and have you spoken with a lender yet? It's fine if not. And what email should the confirmation go to?"

Result: The showing is booked on Jordan's calendar. The caller gets the booking confirmation by email and a follow-up email with the two public links. The call summary notes a buyer with no agent, financing not yet arranged, found the home from the yard sign, and that a buyer agreement is needed before the tour.

What do Fair Housing, texting and license-disclosure rules mean for your receptionist?

They shape three parts of the setup: the questions in the script, the texts that follow a call, and the name and license details callers hear and read. The notes below summarize what the primary sources say. Rules vary by state and change, so treat this as general information and check with your broker or counsel.

How do you choose an AI receptionist for a real estate business?

Judge it on five things: whether it books live on the calendar you use, whether you control the script, how it handles texting consent, what actually reaches your CRM, and whether you want an AI or a human answering. Ask every vendor to show a showing request and an after-hours lead on your own number.

  1. Live booking. Does it check your real calendar while the caller is on the line, or take a request for someone to confirm later?
  2. Script control. Can you write and review the questions, so the Fair Housing rules above are built in rather than hoped for?
  3. Texting. Who sends follow-up texts, under what consent, and how is STOP honored?
  4. CRM handoff. Does the lead land in Follow Up Boss, kvCORE or Lofty for real, or arrive by email? Ask to see it on your account.
  5. AI or human. Decide whether you want software or a person answering, then compare prices at your own call volume, since vendors bill per minute, per call or per plan.

Alternatives, listed alphabetically

VantaWeb publishes this page and sells Anna, so it is not a neutral ranking. The four other options are listed alphabetically, described from their own real estate pages read on October 17, 2026. We read their sites; we did not test their products.

  • Allo. Describes an AI phone system for agents that answers, texts back and books viewings while the agent is at a showing, with one number that rings every device, and says viewings sync to the agent's calendar and CRM (withallo.com). Our Allo comparison has more detail.
  • Frontdesk (MyAIFrontDesk). Markets a product for brokerages that answers around the clock, qualifies buyers, schedules showings and automates follow-ups across voice, SMS and chat, and says it checks MLS-linked availability (myaifrontdesk.com).
  • Jodie. Describes an AI answering service that takes buyer and seller calls at any hour and records price range and pre-approval, and lists follow-up texts to every caller and 32 languages with Spanish on by default (heyjodie.com).
  • Ruby. Offers live human virtual receptionists around the clock; agents set their status in the Ruby app when they are at a showing (ruby.com).

VantaWeb (shown separately, not ranked). Anna, an AI receptionist, answers from the listing facts you give it, books showings on your Google Calendar or VantaWeb's built-in scheduling, transfers urgent client calls to the number you set, and emails a summary of each call. It has no MLS or CRM connection, and booking-confirmation texts are off by default. Plans are on the pricing page.

Does it work with Follow Up Boss, kvCORE or Lofty?

Not directly. VantaWeb does not connect to Follow Up Boss, kvCORE or Lofty, and it does not create leads or contacts in them. It works alongside them: each call ends with a written summary in your inbox, and you or an assistant add the lead to the CRM you already use.

For a solo agent that is often a minute per lead. For a team, decide who owns the inbox where summaries arrive, so a lead from Saturday afternoon is in the CRM before Monday. If a vendor tells you its connection writes leads into your CRM, ask to watch one arrive on your own account before you rely on it.

What does VantaWeb offer real estate agents?

VantaWeb offers Anna, the phone receptionist described on this page, plus a website with an AI chat widget and lead forms that save to a dashboard. The receptionist part covers listing questions, showing and listing-appointment booking, vendor messages and transfers for clients under contract.

Real estate answering service FAQ

Can an AI receptionist answer questions about my listings?

Yes, from the listing facts you put in its knowledge base: price, status, bedrooms and baths, open house times and showing rules. It does not read the MLS, so a price change or a pending status reaches callers when you update the knowledge base. Anything it does not know becomes a message for you.

Can it book showings on my calendar?

Yes. It checks your Google Calendar, or VantaWeb's built-in scheduling if you do not use a calendar app, for open times while the caller is on the line and books the one they pick. The confirmation goes by email, and a caller who phones back from the same number can move or cancel the showing.

How does an AI receptionist stay on the right side of Fair Housing rules?

By following a script that asks about the property, the timeline and the financing, and never about the caller's family, religion, national origin or disability. Questions about who lives in a neighborhood get public sources or a call back from the agent. Review the call summaries, and treat this page as general information rather than legal advice.

Does VantaWeb connect to Follow Up Boss, kvCORE or Lofty?

No. VantaWeb does not connect to Follow Up Boss, kvCORE or Lofty and does not create leads or contacts in them. It works alongside them: each call ends with a written summary emailed to you, and you or your assistant add the lead to your CRM.

What does VantaWeb cost for a real estate agent or team?

The pricing page lists the current plans, what each includes and how voice minutes are counted. Showing booking depends on the plan and its add-ons, so check that page before you rely on it for open-house weekends.
