VantaWeb does not currently sign BAAs on any plan (Pulse, Surge, or Apex), and we do not recommend deploying VantaWeb for HIPAA-regulated workloads at this time, including for practices running Open Dental.

VantaWeb's direct read/write sync against that API is being built but is not a live, customer-proven connection today.

Why practices on Open Dental need an AI receptionist

Open Dental is the leading open-source practice management system in dentistry, running the schedule, patient records, and billing for practices that want more control and a lower cost than proprietary alternatives. Like any practice management system, it doesn't answer the phone -- that's still the front desk's job, and it's the job that slips when the team is checking a patient in, working the phones for insurance, or the office has closed for the night.

Dental practices field high-value calls at the worst possible moments: new-patient inquiries during the morning rush, insurance questions that eat 3-5 minutes of front-desk time each, and after-hours calls from patients who only have time to call once their own workday ends. A missed call rarely becomes a returned voicemail -- the caller moves to the next practice on their list.

VantaWeb's own compiled statistics on this pattern -- sourced from BrightLocal and Google consumer research and published at /blog/ai-receptionist-statistics/ -- show that a substantial share of inbound calls to small service businesses go unanswered during business hours, and most callers who reach voicemail simply call the next business that answers rather than waiting for a callback. For a dental practice, that pattern applies directly to new-patient calls, which is why the underlying technology matters even while the compliance question (below) is still being resolved.

What Anna does for Open Dental practices

This is the call workflow VantaWeb runs today for calendar-based booking. It assumes VantaWeb's HIPAA tier is available for the practice to use (see the status above); direct Open Dental sync is called out separately below, since it's in development, not live.

  1. Caller dials the practice number. Anna answers within two rings and opens the conversation naturally -- no menu options, no hold music.
  2. Anna qualifies the request. For new patients: name, date of birth, insurance carrier, reason for the visit, and preferred appointment window. For existing patients: identity verification and the reason for the call (reschedule, question, callback request).
  3. Anna checks calendar availability. Using the Auto-Booking add-on, she finds open times on your connected Cal.com or Google Calendar matching the caller's stated preference.
  4. Anna books the appointment and confirms with the caller. The caller hears the date and time before hanging up, and gets an SMS confirmation. Anna also texts your front desk the booking details so your team can enter it in Open Dental -- Open Dental stays your system of record while direct sync is in development.
  5. Emergency calls escalate to a human in real time. Dental emergencies -- a broken tooth, an abscess -- route to your on-call dentist or emergency line per your configured rules.

Direct Open Dental sync: in development

Open Dental's Appointments API is real and extensively documented: it supports retrieving a practice's schedule, searching for open slots, creating new appointments, and updating, confirming, or canceling existing ones. VantaWeb's direct sync against that API is in development -- it is not a live, customer-proven connection today. Until it ships, Anna books to your calendar and relays details to your front desk to enter in Open Dental.

Access is not self-serve. Per Open Dental's own setup documentation, a developer must request API access from Open Dental's vendor relations team, specifying the company, billing details, and the exact resources and permissions needed. Open Dental states these requests typically take one to three business days to process.

The practice's own office also has to do its part: Open Dental requires the office to have its eConnector running, and someone at the practice needs to check the "Enabled" box in Open Dental's own API Setup screen before any external application -- including VantaWeb -- can connect.

VantaWeb is not an official Open Dental partner. The direct sync in development will use Open Dental's standard third-party developer approval process, the same one available to any vendor.

HIPAA compliance status (read this before contracting)

Dental practices are HIPAA covered entities. Any vendor that processes protected health information on a practice's behalf -- including an AI receptionist that hears a patient's name, date of birth, condition, or insurance details on a call -- is a business associate under HIPAA and must sign a Business Associate Agreement before handling that information.

Honest status, current as of this page's last update

VantaWeb does not currently sign Business Associate Agreements on any plan -- Pulse ($149/mo), Surge ($299/mo), or Apex ($599/mo). Our HIPAA-compatible tier, covering the sub-processor BAA chain across telephony, AI inference, speech processing, and data storage, is in active development and not available today.

We do not recommend deploying VantaWeb for HIPAA-regulated workloads at this time, including for a dental practice running Open Dental. This applies regardless of whether the Open Dental API technical connection itself is working -- the compliance gap is independent of the integration's technical readiness.

New-patient intake outside office hours

A prospective patient calls at 8 PM after their workday ends. Anna answers, collects name, date of birth, insurance information, and a preferred appointment window, checks calendar availability via the Auto-Booking add-on, and books the appointment -- then texts your front desk the details to enter in Open Dental -- so the practice opens the next morning to a confirmed booking instead of a voicemail to transcribe and call back.

Existing-patient rescheduling during a busy front desk

A patient calls to move their cleaning appointment while the front desk is mid-checkout with another patient. Anna verifies the caller's identity, takes the reschedule request and new preferred time, and confirms the change with the patient -- then notifies your front desk to update the appointment in Open Dental, so the patient hangs up rescheduled instead of leaving a voicemail that may or may not get returned before their old slot passes.

What VantaWeb costs for Open Dental practices

There are three VantaWeb plans. None of them currently includes a signed Business Associate Agreement -- see the HIPAA section above before contracting for a dental practice.

How long does setup take?
