VantaWeb + Zapier: send call data to 6,000+ apps
Anna, VantaWeb's AI receptionist, can send a structured event to Zapier the moment a call ends, an appointment gets booked, or a lead gets qualified. From there, Zapier routes that data wherever you want — your CRM, a Google Sheet, a Slack channel, or any of the thousands of apps Zapier connects to. No custom code required.
TL;DR
VantaWeb does not (yet) have a published one-click app in the Zapier App Directory. Instead, it connects through Zapier's own "Webhooks by Zapier" trigger: you create a Catch Hook, paste the URL into your VantaWeb dashboard, and VantaWeb starts POSTing JSON to it.
Three events can trigger a send: call.ended, appointment.booked, and lead.qualified. This is outbound-only — Zapier receives data from VantaWeb, it cannot send commands back.
Zapier webhooks are available on VantaWeb's voice-enabled plans, Surge ($299/mo) and Apex ($599/mo), since the events they carry are generated by phone calls.
How the Zapier connection works
This is not a marketplace app you install with one click — VantaWeb is not currently listed in the Zapier App Directory. What exists today is a direct, working connection built on a Zapier feature called Webhooks by Zapier, specifically its Catch Hook event.
A Catch Hook is a URL Zapier generates for you. Anything POSTed to that URL becomes the trigger data for a Zap. VantaWeb is the sender; your Zap is the receiver. That direction never reverses — there is no inbound webhook, so a Zap cannot start a call, change a setting, or write anything into your VantaWeb account.
The three events VantaWeb can send
- call.ended. Fires when a call with Anna finishes. Payload includes the caller's name, phone, and email (when captured), call duration, an outcome label, an AI-generated summary, and the transcript.
- appointment.booked. Fires when Anna books a slot on a call. Payload includes the customer's name, phone, email, service address, the appointment start/end time and timezone, service type, and any notes.
- lead.qualified. Fires when Anna determines a caller is a qualified lead. Payload includes the lead's name, contact info, address, service requested, urgency level, and source.
Each event is a discrete, structured JSON payload — no scraping a transcript for fields, no guessing at formats. Fields VantaWeb didn't capture on a given call are sent as null rather than left out, so your Zap's field mapping stays stable from call to call.
What you can build downstream of the Catch Hook
use case 01
Push booked appointments to Google Calendar
Zap trigger: appointment.booked. Zapier writes a new event to your Google Calendar (or Outlook) with the customer name, service address, and appointment window — so your calendar reflects what Anna booked without anyone re-typing it.
use case 02
Send qualified leads to your CRM
Zap trigger: lead.qualified. Zapier creates or updates a contact in HubSpot, Salesforce, Pipedrive, or whichever CRM you run, with the lead's contact info, service requested, and urgency already filled in.
use case 03
Post call summaries to Slack
Zap trigger: call.ended. Zapier drops a message into a #calls or #front-desk Slack channel with the caller's name, outcome, and AI summary — so your team sees what happened without opening a dashboard.
Any of Zapier's 6,000+ connected apps can be the destination for these three events — Google Sheets logging, email sequences, SMS follow-ups, ticketing systems, and more, without VantaWeb needing a direct integration with each one.

Why an outbound webhook beats waiting for a native integration
Third-party booking and CRM availability is setup- and tenant-dependent. VantaWeb does not currently claim a verified native, certified, direct, or two-way ServiceTitan integration. Require an account-specific demonstration before purchase; a roadmap, manual handoff, webhook, or middleware concept is not a native integration.
Zapier's Catch Hook closes that gap without VantaWeb needing to build or maintain a native app in the Zapier Directory. The tradeoff is honest: a native App Directory listing would mean a guided, no-URL-copying setup flow inside Zapier itself. The Catch Hook approach takes five minutes of manual setup instead, but it works today, with the same downstream reach.
For every third-party workflow, choose only after an account-specific demonstration. A Zapier app, API, webhook, middleware concept, or roadmap item does not prove a native or reliable integration; verify authentication, writes, notifications, retries, and failure handling.
How to connect VantaWeb to Zapier
Setup takes about five minutes and requires no code.
- Create a Zap in Zapier. Choose "Webhooks by Zapier" as the trigger app, and select the "Catch Hook" event. Zapier generates a unique Catch Hook URL for you.
- Copy the Catch Hook URL into VantaWeb. In your VantaWeb dashboard, go to Settings > Integrations > Zapier and paste the URL.
- Choose which events to send. Toggle on any of call.ended, appointment.booked, and lead.qualified. You don't have to send all three — pick the ones your downstream Zap needs.
- Send a test event. VantaWeb can fire a sample payload so Zapier's "Catch Hook" trigger has real sample data to map fields from. Confirm it arrives in Zapier before building further steps.
- Build the rest of your Zap. Add the action step — Google Calendar, your CRM, Slack, a spreadsheet, whatever you're routing to — and map the JSON fields from the sample payload. Turn the Zap on.
Frequently asked questions
Is there a native Zapier app for VantaWeb?
Not yet. VantaWeb does not currently have a published one-click app listed in the Zapier App Directory. The integration works today through Zapier's own "Webhooks by Zapier" trigger with the Catch Hook event — VantaWeb POSTs data to a URL Zapier gives you, and your Zap takes it from there. It takes about five minutes to set up and reaches the same 6,000+ apps a native app would.
What events does VantaWeb send to Zapier?
Three: call.ended (caller name, phone, email, duration, outcome, and transcript when a call finishes), appointment.booked (customer and appointment details, including service address, when Anna books a slot), and lead.qualified (name, contact info, service requested, and urgency when Anna determines a caller is a qualified lead). You choose which events to send when you set up the connection.
Can Zapier control VantaWeb or trigger actions inside it?
No. This integration is outbound-only. VantaWeb is always the trigger source — it sends data out to your Catch Hook URL. There is no inbound webhook, so Zaps cannot start calls, change settings, or write data back into VantaWeb.
Which VantaWeb plan includes Zapier webhooks?
Zapier webhooks fire from voice events — call.ended, appointment.booked, and lead.qualified — so they're available on the plans that produce those events: Surge ($299/mo, 200 included voice minutes) and Apex ($599/mo, 400 included voice minutes). Pulse ($149/mo) is website and chatbot only, with no phone calls to generate these events.
How do I set up the Zapier connection?
In Zapier, create a new Zap with "Webhooks by Zapier" as the trigger app and "Catch Hook" as the event. Zapier generates a unique URL. Paste that URL into your VantaWeb dashboard under Settings > Integrations > Zapier, choose which of the three events to send, and save. Send a test event from VantaWeb to confirm Zapier receives it, then build out the rest of your Zap.
What can I do with the data once it hits my Catch Hook?
Anything Zapier connects to. Common setups: push appointment.booked events to Google Calendar or a CRM, post call.ended summaries to a Slack channel, log lead.qualified rows into a Google Sheet, or trigger a follow-up email sequence. Since the payload is plain JSON, most Zapier apps can map its fields directly with no code.
Is a transcript included in the call.ended event?
Yes, when one is available. The call.ended payload includes the caller's name, phone, and email (where captured), call duration, an outcome label, an AI-generated summary, and the full transcript. Fields that weren't captured on a given call — for example email on a caller who never gave one — are sent as null rather than omitted, so your Zap's field mapping stays consistent.
Does this replace a CRM integration?
It complements one. If VantaWeb already has a direct integration with your CRM or field-service tool, that direct connection is usually the better first choice — it's built specifically for that platform's data model. Zapier is the right tool when you want to reach a system VantaWeb doesn't integrate with directly, or when you want to fan the same event out to several tools at once.
