AI Chatbot for Contractor Websites
An AI chatbot for a contractor website answers visitors from the services, service area and hours you give it, then takes a name and a phone number or email and saves the request to your dashboard. It does not quote prices it was not given or promise arrival times. The chat on this page is the same widget.
Can I try the chat on this page before I buy?
Yes. The chat bubble at the bottom right of this page is VantaWeb's own copy of the widget, and the button above opens it. It answers questions about VantaWeb and about what the chat does. A contractor's copy is set up with that contractor's services, service area and hours.
Things worth asking it: what happens when someone wants a quote, whether it can take a booking, what it does with an emergency, and what it will not answer. If the bubble is hidden behind the cookie bar, choose a cookie option and it appears. The widget loads from VantaWeb's chat service, so a very slow connection may delay it.
The sample conversations further down are written by us to show the rules the contractor chat follows. They are not recordings, and no real business or visitor is named.
What does a contractor website chatbot do, and what does it not do?
It answers from your details, keeps replies to two to four sentences, takes a lead with a phone number or email, and sends emergencies, bookings and quotes toward your phone. It does not invent prices or hours, promise arrival times, diagnose problems or put appointments on your calendar.
What it does
- Answers from your services, service area, hours, phone and the FAQs you write.
- Says when something is not on your service list and points to your phone to confirm.
- Suggests calling when a visitor wants to book, asks for a quote or describes an active emergency.
- Takes a name, a phone number or email and a one-line note, and saves it as a contact in your dashboard.
- Tells the visitor you will follow up only after the save has succeeded.
What it does not do
- Invent prices, opening hours or arrival times.
- Book into a calendar. The request goes to your team, who confirm the time.
- Diagnose a leak, a breaker or a system, or dispatch a technician.
- Reach into ServiceTitan, Housecall Pro or Jobber: VantaWeb does not connect to them.
- Replace a person on a true emergency. It sends the visitor to the phone.
These limits are rules in the chat's instructions, not promises about every sentence it will ever write. It is a language model, so read a few real conversations in the dashboard in the first weeks and correct the services description wherever an answer was off.
Which lead details does the chat capture?
The chat captures a name, a phone number or an email (at least one of the two), and a short note about what the visitor needs. The save is rejected if the phone number has no area code or the email is not valid, so a lead in your dashboard is one you can actually call or write to.
| Field | Rule the chat applies | Why it matters |
|---|---|---|
| Name | A person's name: letters, spaces and common punctuation, up to 80 characters. | Keeps a typed instruction or a link from landing in your contact list as a name. |
| Phone | A US number needs its area code. Other countries need the + form. | A number your team can dial without guessing. |
| Must be a valid address. | A reply that reaches the visitor. | |
| Note | One line of what the visitor needs, capped at 300 characters. | Your team knows what to ask about before they call. |
| At least one contact | A phone number or an email is required. | A name alone cannot be followed up. |
The lead forms on the VantaWeb contractor website follow the same rule, a phone number or an email, and save to the same contacts list. If the chat cannot save a lead, it says the details were not saved and asks the visitor to call, or to use the contact form on the page. It never claims a callback that nothing will deliver.
How does the booking hand-off work?
The chat does not schedule the visit. It recognizes the request, collects the contact details, saves them to your dashboard and tells the visitor your team will follow up. Your team then confirms a time by phone or email. Emergencies skip the form and go to your phone number.
The visitor asks. They want to book, get a quote or report a problem.
The chat decides the path. An active emergency is pointed to your phone number straight away. A booking or quote request goes to step three.
It asks for a name and a phone number or email, plus what the visitor needs in a line.
It saves the lead. Only if the save succeeds does the chat tell the visitor you will follow up. If it fails, the visitor is told the details were not saved and is asked to call.
The contact appears in your dashboard. Your team calls or writes to confirm the time and enters the job in your own software.
On a voice plan, the same trade questions are asked when the customer phones in, and the call ends with a written summary emailed to the address you set.
What do real-looking conversations sound like in each trade?
They are short and plain: the chat answers what it can from the contractor's details, says what it cannot do, and moves a booking request toward the team. Each conversation below is illustrative and fictional. The dashed box under it shows the lead the dashboard would receive.
Plumbing: a water heater that will not heat
An example plumbing business with water heater repair on its service list. Illustrative.
VisitorDo you fix tankless water heaters?
ChatYes, water heater repair and replacement are on our service list, tankless included. I can't give a price from here because a technician has to look at it. I can pass your details to the team, or you can call the number on this page.
VisitorHave someone call me. It stopped heating this morning.
ChatHappy to. What's your name, and a phone number or email?
Visitor types a first name and a US phone number with its area code.
ChatThanks, Dana. I've saved your details and the team will follow up about the water heater.
Lead received. Name: Dana. Phone: given with area code. Note: tankless water heater stopped heating, wants a call.
HVAC: warm air from the AC
An example HVAC business with cooling repair on its service list. Illustrative.
VisitorMy AC is blowing warm air. Is this an emergency?
ChatI can't diagnose it from chat, and I don't want to guess. If you need help right away, please call the number on this page. If you'd like to book a visit, give me your name and a phone number or email and I'll pass it to the team.
VisitorIt's 88 inside and I have a baby at home.
ChatThat sounds urgent. Please call us now on the number on this page so someone can help right away. A call is faster than leaving details here.
Result. No lead is saved on this path: an active emergency is sent to the phone, not to a form.
Roofing: a wet spot after hail
An example roofing business with storm damage inspections on its service list. Illustrative.
VisitorWe had hail last night and there's a wet spot on my ceiling. Can you inspect the roof?
ChatSorry to hear that. Storm damage inspections are on our list. If water is coming in right now, calling the number on this page is fastest. Otherwise I can take your name and a phone number or email for the team.
VisitorHow much will a new roof cost?
ChatI don't have prices to quote, and I don't want to guess. Roof prices depend on an inspection, so the team can give you a number after they have seen it.
Visitor types a first name and an email address.
ChatThanks, Marcus. I've saved your details and the team will follow up about the inspection.
Lead received. Name: Marcus. Email: given. Note: hail last night, wet ceiling spot, wants a roof inspection.
Electrical: flickering lights
An example electrical business with lighting and repair on its service list. Illustrative.
VisitorMy lights flicker when the AC kicks on. Is that dangerous?
ChatI can't tell you whether it's safe from chat. If you notice a burning smell, buzzing or heat from an outlet or the panel, please call the number on this page right now. Otherwise I can pass your details to the team for a visit.
VisitorNo smell, just flickering. Can you come Thursday?
ChatI can't confirm a day from here, because the team does the scheduling. Give me your name and a phone number or email, and I'll note that Thursday works best.
Visitor types a first name and a US phone number with its area code.
ChatThanks, Priya. I've saved your request, including Thursday, and the team will follow up.
Lead received. Name: Priya. Phone: given with area code. Note: lights flicker when AC starts, no smell, prefers Thursday.
Notice what repeats: no number is invented, the emergency goes to the phone, and the promise of a follow-up comes after the save. The HVAC conversation ends in a phone call rather than a saved lead: the visitor said a baby was in a hot house, and the right next step is a call, not a form.
Chat, lead form or phone receptionist: which one does what?
Use the chat for questions and light requests from visitors who are already on the site, the lead form for a written quote request, and the phone receptionist for calls. Chat and form leads share one contacts list in your dashboard, and phone calls arrive as a written summary by email.
| Channel | Best for | What you receive | Limit |
|---|---|---|---|
| AI chat widget | Questions about services and hours, and quick requests while browsing | A contact in your dashboard with name, phone or email and a note | Does not book a time or quote a price |
| Lead form | A visitor who wants to write out a quote request | A contact in your dashboard, saved when the form has a phone number or an email | Only as good as the fields the visitor fills in |
| Anna phone receptionist (plans with voice) | Calls at night, at overflow and during the day | A written summary of each call, by email | Transfers emergencies to your emergency contact; your office enters the job |

How do you add the chatbot to your website?
If VantaWeb builds your site, the chat is on it from launch, already connected to your dashboard. If you keep a site you already have, the dashboard gives you the embed code for the website you register, and you paste it in. Either way you write the greeting, tone and services description in the dashboard.
- Send the details the chat will answer from: services, service area, hours, phone number and any FAQs.
- Review the chat's answers before launch and correct the services description wherever one is off.
- Publish, and watch the first conversations in the dashboard for the first weeks.
The chat is included on every VantaWeb plan, and the pricing page lists the current plans and what each one adds. To see the whole package, including how it compares with a website builder and an agency, read the contractor website guide. To size what unanswered contacts cost you, use the missed-call calculator.
AI chatbot FAQ
Can an AI chatbot on a contractor website book appointments?
VantaWeb's contractor chat does not put appointments on a calendar. When a visitor wants to book, it takes a name and a phone number or email, saves the request to your dashboard and tells the visitor your team will follow up. Your team confirms the time by phone or email.
What does the chatbot do when it does not know the answer?
It says the item is not on your service list and points the visitor to your phone number to confirm. It does not guess a price, an opening hour or an arrival time, and it only answers from the details you gave it.
Will the chatbot quote prices?
No. It does not invent prices. For a quote it asks for a name and a phone number or email, or points the visitor to your phone, and your team gives the number after seeing the job.
Where do the leads from the chat go?
Each lead is saved as a contact in your VantaWeb dashboard with the name, phone or email, and a one-line note of what the visitor needs. The chat tells the visitor your team will follow up only after the save has succeeded.
What does a visitor see if the chat is busy or has reached its limit?
A short message. When it is busy, it asks the visitor to try again in a minute. When the assistant has reached its limit for the day, it asks the visitor to call or email the business directly, so a limit never leaves a customer without a next step.
Can I add the chatbot to a website I already have?
Yes. The dashboard gives you the embed code for the website you register with us, and you set the greeting, tone and services description in the same place. The VantaWeb contractor website includes the chat already connected to your dashboard.
Does the chatbot connect to ServiceTitan, Housecall Pro or Jobber?
No. VantaWeb does not connect to ServiceTitan, Housecall Pro or Jobber and does not create jobs in them. Chat leads arrive as contacts in the VantaWeb dashboard, and your office enters the job in your own system.
